Cancellation Policy

  1. Overview: This Cancellation Policy outlines the terms and conditions for delegates who wish to cancel their registration for the Africa Health Agenda International Conference (AHAIC) 2025. By registering for the conference, delegates agree to abide by the terms of this policy.
  2. Substitutions: If a delegate is unable to attend the conference for any reason, they may nominate a substitute to attend in their place. To request a substitution, delegates must contact the AHAIC Secretariat at ahaic@amref.org and copy partnerships@amref.org with the details of the replacement delegate. No additional fee will be charged for substitutions, provided the replacement delegate meets the same registration category requirements.
  3. Refund Schedule: If a delegate is unable to attend and is not in a position to transfer their registration to another person, the following refund schedule applies:
  • Cancellations made more than 15 working days before the conference: Full refund of registration fees paid, less a USD $50 administrative fee.
  • Cancellations made within 10 working days of the conference: No refund will be issued.
  1. Cancellation for Onboarded Partner Organizations: If a partner organization wishes to withdraw from participation in AHAIC 2025, the following conditions will apply:
  • Cancellations made more than 50 working days before the conference: The partner organization is eligible for a 75% refund of any sponsorship or partnership fees paid, less a USD $100 administrative fee.
  • Cancellations made within 50 working days but more than 30 working days before the conference: The partner organization is eligible for a 50% refund of any sponsorship or partnership fees paid, less a USD $100 administrative fee.
  • Cancellations made within 30 working days of the conference: No refunds will be issued.

Note: Cancellations must be made in writing by email through the contacts provided below and shall be effected upon issuance of a written acknowledgement from the conference organizers.

  1. Non-Attendance: Failure to attend the conference without prior written notification will be considered a “no-show,” and no refunds will be issued.
  2. Force Majeure: In a highly unlikely circumstance that AHAIC 2025 is canceled or rescheduled due to circumstances beyond the control of the co-hosts, delegates will be notified promptly. Refunds or credit towards future events may be considered at the discretion of the conference organizers.
  3. Refund Method: All refunds will be processed using the original payment method. Please allow up to 30 days for processing. Refunds will be made in the currency of the original transaction.

  5. Policy Updates: This cancellation policy is subject to change. Any updates will be communicated on the official AHAIC 2025 website and via email to registered delegates.

Exhibitor Package - $7,500

CSO Package - $25,000

  • Host a partner-led session

Silver Package - $50,000

  • Host a partner-led parallel session with complimentary translation services
  • 4 Complimentary conference tickets (3 Regular, 1 Youth)
  • Access to the partner lounge (2 passes) and invite only partner receptions (2 passes)
  • Social media mentions and visibility on conference website and the final conference report.
  • A standard 3m by 3m exhibition booth
  • Digital banner placement at the conference center
  • Access to the dedicated partner registration desk.

Gold Package - $100,000

  • Host a partner-led parallel session with complimentary translation services
  • One live media interview or a co-authored opinion piece
  • Access to high-level round table discussions (1 pass) and invite only Partner receptions
  • 5 Complimentary conference tickets (1 VIP, 3 Regular, 1 Youth)
  • Access to the partner and VIP Lounge (1 pass)
  • Partner recognition during opening and closing ceremony and the official conference report

Platinum Sponsorship - $150,000

  • Opportunity for customising participation within the conference thematic areas
